The operator is responsible for account, billing and service-administration information. For personal information you upload on behalf of your organisation, your organisation determines why it is used and AptBid processes it to provide the requested service. Contact us about your organisation’s data-processing arrangements.
2. Information and purposes
We process your email, authentication records and profile to provide and secure your account; uploaded documents, reports and review history to deliver tender tools; and billing names, addresses and payment references to administer purchases and invoices. We also process usage, error and support records to operate the service, prevent abuse and resolve problems.
Our bases for processing are performance of a contract where you are the contracting individual, legitimate interests in providing and securing a business service and supporting business contacts, and legal obligations for financial records. We do not sell uploaded tender documents or use them for advertising.
3. Storage and service providers
AptBid stores account records, tender documents and workspace files in Supabase’s London, UK region. This data is encrypted at rest. AptBid uses HTTPS for file uploads and downloads and requires encrypted connections to the production database.
AptBid uses Render for hosting, Supabase for authentication, database and document storage, OpenAI for AI processing, Stripe for payments and Resend for transactional email. When you request analysis, relevant document content is sent to the AI provider. Public research queries can be used where enabled as part of that analysis. Review documents before uploading and minimise unnecessary personal information.
Stripe processes payment details; AptBid stores payment references and invoice information rather than your full card details. Provider processing and support can involve locations outside the UK. Provider contracts and the applicable transfer safeguards govern that processing; contact us for details of the arrangements applying to your account.
4. Retention and deletion
Guest access expires after 24 hours. Cleanup removes expired guest files while the worker is active; access expiry is not an exact physical-deletion time. Saving a tender keeps it in your account until you remove it or request account closure.
Deleting a tender prevents further access and schedules its associated files and report data for removal. Reusable evidence remains in your library until separately removed. Minimal deletion and activity records can remain to support cleanup and explain removed references. Payment records are retained where required for accounting, legal obligations or resolving a dispute. Provider backups and logs follow their separate retention arrangements.
For account closure or a specific retention question, contact support@aptbid.co.uk. We will explain any information we need to retain and why.
5. Cookies, security and your rights
A guest cookie connects temporary uploads to your browser. Browser storage maintains your authentication session. These are used to provide the service; AptBid does not currently use advertising or product analytics tracking.
You can request access, correction, erasure, restriction or portability where applicable, and object to processing based on legitimate interests. Contact support@aptbid.co.uk; we may verify your identity. You can complain to the Information Commissioner’s Office.
Tender assessments are suggestions for human review, not automated decisions with legal or similarly significant effects. We will update this notice when processing changes materially.
